Confidentiality - our privacy policy

The purpose of this policy

We see confidentiality as an essential aspect of counselling, and we therefore do whatever we can to ensure that other people do not have access to your personal information (with the very limited exceptions described under How we use your information below).

The General Data Protection Regulation (2018) requires us to keep your data securely and to ensure that you are fully aware of the information that we collect about you and what we do with it. We also work in accordance with the Ethical Framework (2018) produced by the British Association for Counselling and Psychotherapy which has similar requirements.

The information that we collect

When someone visits this website we use a third party service, Google Analytics, to collect standard internet log information, but this information is not processed in a way that identifies the visitor.

When you first contact us to make an enquiry about our counselling services we record your name and contact details. If you then wish to make an initial appointment we will also collect information about your availability and any other relevant information.

Security of the information that we hold about you

All of the information that you give us is stored securely. We are obliged, for legal and professional purposes, to keep your name, contact details, and the time and date of any appointments, for seven years, and after this time it will be destroyed. Any additional records kept by individual counsellors related to their work with you will be destroyed by them when you are no longer seeing them.

Text (SMS) messages

If you communicate with us by text messaging we may continue to communicate with you in this way. We will take all reasonable steps to ensure that phones that we use for this purpose are not accessed by anyone other than ourselves.

Computer records

Email is our only method of information collection and storage that involves the use of computers, and all of our email correspondence is conducted employing industry-standard encryption systems. We take all reasonable steps to ensure that the equipment (PCs, tablets and phones) on which we access our email cannot be used by anyone other than ourselves, and that this equipment is protected against viruses and other threats such as hacking. However, email cannot be guaranteed to be fully secure, and we cannot accept responsibility for any data breaches which are caused by third party errors, or by malicious attacks on our systems. Similarly, there are, within this website, links to other websites, and those sites are not covered by this Privacy Policy. If you have any questions about how another site uses your information you will need to check that site’s privacy statement.

How we use your information

The information that you give us will only be used by us to provide you with our counselling service. We will not pass your information on to anyone else without your consent unless we are compelled to do so by a court of law, or in circumstances where we have very good reason to believe that there is a risk of serious harm to yourself or another person/people. We will always do our best to inform you if we pass on information in these ways without obtaining your prior consent.

Your rights

The counsellors of Peak and Dales Counselling are all individually responsible for the collection and storage of any personal information that you give to them, and, for this reason, we are all registered as Data Controllers with the Information Commisioner’s Office, under the Data Protection Act 2018.

If you would like to see the information that we hold about you, or would like to change or delete any of the information, please initially contact the counsellor who you have been communicating or working with. We will do our best to rectify any issue that concerns you. If you are not fully satisfied with our actions you should then contact the Information Commisioner’s Office at
